Privacy Policy

This policy explains what personal information Vida Water collects when you use this website or get in touch with us, why we collect it, and what rights you have over it. We are committed to protecting your privacy and handling your information openly and lawfully.

1. Who we are

Vida Water is a trading name of Vida Water UK Limited, a company registered in England & Wales under company number 17106888, with its registered office at Belvedere House, Borrowcop Lane, Lichfield, Staffordshire WS14 9DF.

For the purposes of UK data protection law we are the “data controller” of the personal information described in this policy. Our registration with the Information Commissioner’s Office (ICO) is ZC216267.

2. What information we collect

We only collect what we need in order to respond to you and to run our business.

  • Information you give us directly. When you complete the contact form or the quick enquiry form at the bottom of any page, we collect your name and email address, and — where you provide them — your telephone number, company name and the content of your message.
  • Information about your visit. If you consent to analytics cookies, we collect anonymised information about how you use the site: the pages you view, roughly how long you spend on them, the type of device and browser you use, and the approximate region you are visiting from. This is statistical and we do not use it to identify you.
  • Information collected automatically by our hosting provider. Like most websites, our host keeps short-term server logs that may include your IP address. These are used for security and to keep the site running.

We do not knowingly collect information from children, and we do not collect any special category data (such as health or ethnicity information) through this website.

3. Why we use it, and our lawful basis

We do not send marketing emails unless you have asked us to, and any marketing we do send will always include a one-click way to unsubscribe.

4. Who we share it with

We do not sell your personal information and we never share it with third parties for their own marketing. We do use a small number of trusted suppliers who process information on our behalf:

  • Formspree — delivers the messages submitted through our website forms to our inbox. See the Formspree privacy policy.
  • Google Analytics — provides the website statistics described above, but only where you have given consent. See Google’s privacy policy.
  • Google Fonts — serves the typeface used on this site. Your browser requests the font files from Google, which involves your IP address being seen by Google.
  • Our website hosting provider, Netlify, which stores and serves the site.
  • Our email provider, Microsoft 365, which holds correspondence with you.

We may also share information where we are legally required to do so, or where it is necessary to establish, exercise or defend legal claims.

5. Transfers outside the UK

Some of the suppliers listed above are based in the United States. Where personal information is transferred outside the UK, we rely on the safeguards required by UK data protection law — typically the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or a finding of adequacy such as the UK Extension to the EU–US Data Privacy Framework.

6. How long we keep it

  • Enquiries that do not lead to any work: up to 24 months, in case you come back to us.
  • Customer records, contracts and correspondence: for the length of the relationship and then 6 years, to meet accounting and legal requirements.
  • Analytics data: retained by Google for up to 14 months, then deleted automatically.
  • Server logs: a short period set by our hosting provider, usually no more than 30 days.

7. Cookies

We use a small number of cookies, and none of the optional ones are set until you agree. Our Cookie Policy explains exactly what each one does and how to change your mind at any time.

8. How we keep it safe

Our website is served over an encrypted HTTPS connection, and form submissions are transmitted securely. Access to enquiry data is limited to the people in our team who need it in order to reply to you. We review our suppliers’ security arrangements before we use them.

No system can be guaranteed completely secure, but if a data breach were to occur that posed a risk to your rights, we would notify the ICO and, where required, you directly.

9. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that is inaccurate or incomplete;
  • ask us to delete your information where there is no good reason for us to keep it;
  • ask us to restrict how we use it while a concern is investigated;
  • object to us using it on the basis of legitimate interests;
  • ask us to transfer it to you or another provider in a portable format;
  • withdraw your consent to analytics cookies at any time, using the Cookie Settings link in the footer.

To exercise any of these rights, email info@vidawater.co.uk. We will respond within one month. There is no charge, and we may ask you to confirm your identity first.

10. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office:
